Participant waiver & site agreement

Every adult entering the festival grounds signs this waiver on paper at the gate — one form per vehicle, with each adult printing their full legal name, adding their initials, and signing individually. The full text is below so you can read it before you arrive — or print it and pre-sign to save time at the gate.

Important — Please Read Carefully

By signing this agreement, each participant confirms that they have read and understood the terms below, that they are entering the Bass n Nova festival site voluntarily, and that they accept personal responsibility for their own health, safety, belongings, choices, and conduct while on the property.

Right to Modify Rules

Organizers reserve the right to modify, update, or clarify festival rules and site regulations at any time if required for safety, legal compliance, or operational needs.

Personal Responsibility & Release of Liability

Each participant understands that Bass n Nova is an outdoor festival on private land and agrees to take responsibility for their own health, hydration, sun exposure, food, drinks, personal belongings, medical needs, and anything they choose to consume, use, take, or participate in while on site.

Participants understand that the festival organizers, landowners, hosts, volunteers, artists, facilitators, contractors, staff, representatives, and anyone assisting with the event are not responsible for injury, illness, dehydration, impairment, allergic reactions, accidents, property loss, property damage, or any other harm connected with a participant's personal choices, health condition, consumption, behaviour, or failure to take care of themselves.

Substance Use & Behaviour Policy

Participants agree not to engage in unsafe, disruptive, or harmful behaviour while under the influence of alcohol or any substances. The organizers reserve the right to remove any participant from the site without refund if their behaviour is considered unsafe, disruptive, or disrespectful to others or the environment.

Respect for the Land and Nature

Bass n Nova takes place on private land. Participants agree to treat the property, plants, trees, leaves, soil, and surrounding nature with care and respect, avoid damaging the land or natural areas, and help leave the site as close as possible to the way it was before the festival.

Weather & Natural Environment Risks

Participants acknowledge that the festival takes place in an outdoor environment and accept all risks associated with weather conditions, terrain, wildlife, insects, smoke, and other natural factors. Participants are responsible for preparing appropriate clothing, shelter, and supplies.

Garbage, Cups, Bottles & Shared Areas

Bass n Nova is a leave-no-trace community event. Each participant is responsible for their own garbage and agrees not to leave cups, bottles, cans, food waste, cigarette butts, personal items, or other waste on the grass, near the stage, around tents, in the forest, in parking areas, or anywhere on the property.

Participants are asked to use their own reusable cups, plates, bowls, spoons, and forks. Drinks should be kept in personal cups or containers, or in the designated bar area. No cups, bottles, cans, or drinks should be left on or around the main stage, dance floor, sound equipment, art installations, or shared community areas.

Main Stage, Main Tent & Sound Equipment

The main stage is a working area for DJs, musicians, sound crew, stage decorators, organizers, and approved volunteers only. Participants agree not to climb onto, sit on, dance on, store belongings on, or enter the main stage area unless they have been specifically approved by the organizers or stage crew.

The main / big tent is reserved for lectures, workshops, and evening music sets. For safety, focus, and respect for the program, the main tent is not intended for children, and children should not enter unless specifically approved by the organizers. Footwear must be removed before entering the tent.

Participants also agree not to touch, move, unplug, adjust, lean on, or place drinks near any sound equipment, DJ equipment, cables, speakers, lights, generators, decorations, or stage structures.

Children, Sleeping Areas & Parking

There are designated sleeping and camping areas on site. Families with children have their own sleeping / camping area near the kids' zone, and adults have their own separate sleeping / camping area. Please ask the volunteers where your area is located and follow their directions.

Families staying in the kids' zone may park near the kids' area where directed by volunteers. Adult participants and all other vehicles must park only in the designated parking area, along the marked rope / parking line, so there is enough space for everyone and clear access around the site.

All festival areas are open to children unless otherwise marked or directed by volunteers or organizers. However, the main / big tent is reserved for lectures, workshops, and evening music sets, and is not intended for children. Children should not enter the main tent unless specifically approved by the organizers.

Parking & Vehicle Liability

All vehicles are parked at the owner's risk. Organizers are not responsible for loss, theft, or damage to any vehicle or its contents while parked on or near the festival site.

Minor Responsibility / Age Requirement

Each participant understands that minors must be under the continuous supervision of a parent or legal guardian at all times while on the festival site. Parents or guardians assume full responsibility for the safety, behaviour, and well-being of any minors they bring to the event. Organizers do not provide childcare or supervision services.

Camping Area Noise & Respect for Neighbours

Participants staying in the shared adult camping / sleeping area agree to be respectful of the people camping around them. Please keep voices low, especially in the evening, at night, and early in the morning.

Personal music, speakers, loud conversations, or unnecessary noise should not be used in the camping / sleeping areas, as other participants may be resting or sleeping at different times of the day and night.

Hammocks, Trees & Natural Areas

Hammocks may be used on the festival property where appropriate, as long as they do not damage trees, plants, fences, structures, or the natural environment. Please use tree-friendly straps whenever possible and do not use nails, screws, wire, sharp hooks, or anything that may cut into or damage trees.

Participants agree to remove all hammock straps, ropes, and personal items before leaving and to follow organizer or volunteer instructions if asked to move or remove a hammock.

Property Damage Responsibility

Participants agree that they are personally responsible for any damage they cause to festival property, infrastructure, art installations, sound equipment, or natural surroundings, and may be held financially liable for repair or replacement costs.

Water, Electrolytes, Showers, Soap & Toilets

Drinking water is available on site from two water access points: one near the kids' zone / kids' camp area, and one near the owner's house by one of the exterior walls. Electrolyte water will also be available on site. Participants are encouraged to refill their bottles regularly and stay hydrated.

A phone charging station will be available on site. Please ask volunteers where the electrolyte water and phone charging station are located. Participants may use both as needed and remain responsible for their own phones, chargers, cables, and belongings.

Participants agree to use only the soap provided in the shower areas, as it is the approved organic / biodegradable soap suitable for the site's water system and surrounding land. Personal soaps, shampoos, conditioners, body washes, oils, or other products should not be used in the showers unless approved by the organizers.

There are two designated women's toilets located together in the toilet area. The men's toilet is located separately and is marked / identified as the men's toilet. Participants agree to use the appropriate designated toilets and to keep them clean and respectful for others.

Food, Coffee & Shared Meals

From 9:00 AM to 11:00 AM, coffee, plain yogurt, and granola will be available near the kitchen area. Participants are welcome to come by with their own cup, bowl or plate, spoon and fork, and help themselves.

In the evening, starting at 7:00 PM, there will be a shared pot of hot vegetarian soup available near the kitchen area. Participants are welcome to enjoy the soup while it is available.

Food & Allergy Disclaimer

Participants acknowledge that food is prepared and served in a communal environment and agree that they are solely responsible for checking ingredients and managing any allergies or dietary restrictions. Organizers are not liable for any allergic reactions or food-related health issues.

On-Site Medical & Emotional Support

A medical support person will be present on site. If you feel unwell, have a health-related question, or need basic medical guidance, please contact a volunteer or organizer and ask for Kirill — tall, bearded, easy to spot, and very helpful.

A professional psychological support person will also be present on site. If you feel overwhelmed, emotional, anxious, or simply need a calm person to talk to, please contact a volunteer or organizer and ask for Nadia. Festivals can be beautiful and intense, and it is always okay to ask for support.

Emergency Medical Consent

By attending the festival, participants consent to receive basic first aid and medical assistance if required. Participants also authorize organizers or designated staff to contact emergency medical services if necessary. Any costs associated with external medical services remain the responsibility of the participant.

Volunteers & Assistance

Festival volunteers will be wearing blue wristbands; please look for them if you need help with parking, camping, water, food, charging, support, or any other site-related questions.

Photo & Video Consent

Participants understand that photos and videos may be taken during Bass n Nova by organizers, volunteers, artists, and other participants. By attending the festival, each participant understands and agrees that they may appear in photos or videos taken on site.

Participants agree that photos or videos from the festival may be shared or published on the Bass n Nova website, festival social media pages, festival group chats, community groups, or other festival-related channels.

Art on Site

The artwork displayed on the walls and inside the main tent is available for purchase. If you see a piece you love, please ask a volunteer or the artist for more information.

Proceeds from the artwork will go to charity, and purchasing a piece is a beautiful way to support the artists, the festival, and the community.

Right of Removal / Expulsion

Organizers reserve the right to refuse entry or remove any participant from the festival site at their sole discretion if they violate festival rules, behave in a way that compromises safety, or disrupt the community environment. Removal may occur without refund or compensation.

Final Acknowledgement

By signing this agreement, each participant confirms that they have read, understood, and agreed to this Participant Waiver, Release of Liability and Site Agreement, and that they agree to follow the site rules, respect the land, respect other participants, and take personal responsibility for their own actions while attending Bass n Nova.
